PVDA is provided for professional use in connection with picture vehicle, driver, vehicle hire, and production-related work. Users must use the platform lawfully, accurately, in good faith, and only for genuine operational or business purposes connected to the services the platform is designed to support.
Users are responsible for maintaining accurate account information, safeguarding their login credentials, and ensuring that information submitted through the platform is current, complete, and not misleading. This includes profile details, rates, vehicle information, documents, compliance records, billing information, and any content uploaded or entered through the site.
Drivers are responsible for the accuracy of their profile, including biography, skills, licence details, CPC and Digi Tacho information, rates of pay, production history, training records, motorsport credentials, costume sizes, imagery, and any driver-owned vehicles listed for hire. Employers are responsible for reviewing profile information and ensuring that any driver or vehicle they request is suitable for their production requirements.
Drivers are responsible for keeping their availability accurate. Where a driver marks themselves unavailable, hides their profile, or marks a vehicle unavailable, PVDA may remove that profile or vehicle from employer-facing search or booking visibility until it is reinstated through the relevant platform controls.
Booking requests, responses, confirmations, cancellations, and related communications made through PVDA form part of the operational record for that booking. Users should review booking details carefully before sending, accepting, declining, confirming, cancelling, or otherwise relying on them. PVDA may support this workflow with email and SMS notifications, but users remain responsible for reviewing the live booking record within the platform.
Drivers may upload licence images, DVLA summaries, compliance documents, receipts, chit images, and other supporting materials. PVDA may restrict visibility of certain information according to workflow and user role. Driver documents and direct contact details are only made available to employers once a booking has been confirmed.
Driver invoices to employers must be generated and managed through the platform workflow provided. Users are responsible for checking invoice details before sending, including eligible booking days, dates, times, additional expense lines, receipt uploads, VAT information where applicable, and any other amounts shown on the invoice preview. Invoice calculations and generated PDFs form part of the platform record, but users remain responsible for ensuring the underlying information is correct.
Driver agency commission is charged at £10 per booking day. This applies to both driver and vehicle bookings, so where a driver and vehicle are booked together on the same day, the agency fee is £20 for that day. Agency fee invoices are issued at 9am each Friday and must be paid within 7 days. Failure to pay within 7 days may cause the account to become restricted, in which case it may no longer appear in employer searches and may be prevented from responding to booking requests until the account is brought back into good standing.
Where the in-vision chit feature is used, drivers are responsible for entering accurate chit details and uploading the relevant images and contact information. Unless a chit is marked as paid, PVDA may send reminder emails to the issuer or production accounts contacts 14 days after upload and every 7 days thereafter until the chit is marked as paid or otherwise resolved.
Users must not misuse the platform, interfere with other users, upload unlawful, inaccurate, misleading, or inappropriate material, attempt to bypass booking, payment, privacy, or security controls, scrape or harvest platform data without permission, or use PVDA in any way that could damage the platform or its users.
PVDA is intended to support sourcing, workflow, communication, record-keeping, invoicing, reporting, and account administration within the picture vehicle sector. Unless expressly stated otherwise, PVDA is not a substitute for users’ own contractual, legal, accounting, tax, insurance, employment, production, or regulatory responsibilities.
PVDA may restrict, hide, suspend, or otherwise limit access to an account or feature where this is reasonably necessary for operational, billing, compliance, misuse, security, or platform administration reasons. These terms may be updated from time to time to reflect legal, technical, or operational changes to the platform.
