Depending on how the platform is used, PVDA may collect account details such as name, email address, phone number, password-protected login credentials, profile biography, rates of pay, skills, licence and compliance details, availability records, vehicle information, production history, messaging content, booking and request records, invoice data, billing records, receipts, chit uploads, and other supporting documents or images submitted through the site.
Information is used to operate the core services of the platform. This includes creating and managing accounts, displaying driver profiles, matching employers with suitable drivers and vehicles, handling booking requests and responses, sending notifications, supporting confirmed bookings, generating invoices, storing uploaded receipts and documents, managing in-vision chits, producing reports, administering billing, and maintaining platform security.
PVDA may send operational emails and SMS messages where needed for platform workflow. These may include account confirmation, booking requests, driver responses, booking confirmations, booking cancellations, document reminders, chit reminders, invoice-related communications, billing notices, and other important service messages connected to the use of the platform.
Drivers may upload profile images, licence images, DVLA check documents, training records, motorsport credentials, receipts, vehicle images, and chit images. PVDA uses workflow controls to limit visibility of certain information. As part of that process, driver documents and direct contact details are only made available to employers once a booking has been confirmed. Drivers may also choose to hide their profile from employer search results.
Where drivers list vehicles for hire, PVDA may store vehicle details, images, and availability status. Where bookings proceed, the platform may store request details, dates, times, responses, confirmations, cancellations, related messages, invoice lines, receipts, payment-related references, agency commission records, account status information, and other records required for the operational and financial administration of the booking.
Where the in-vision chit feature is used, PVDA may store chit images together with issuer details and production accounts contact information for the purpose of record-keeping and automated payment reminder workflow until the chit is marked as paid or otherwise resolved.
PVDA may make information available to the relevant parties only where needed for platform operation, booking workflow, payment and billing administration, support, legal compliance, or other legitimate operational purposes. Information is not intended to be disclosed more widely than is necessary for those functions.
Users are responsible for keeping account, profile, compliance, and billing information accurate and up to date. PVDA may retain records for as long as reasonably necessary for operational continuity, contractual administration, accounting, dispute handling, compliance, security, and legal obligations.
